Simplifying Office Duties with a Check Scanning Device

By: teerel

Small businesses often employ one office manager to take care of all of the bookkeeping and all other office duties. Such duties might include accepting checks from customers, calling up vendors, completing payroll, and ordering supplies. If the company is busy, the office manager might not have enough time in the day to even take an afternoon coffee break. One of the things that can make her work more efficient is the use of a check- scanning device: a simple, high-tech solution that can save precious time during the day.

How does it work?
A check-scanning device works by reading and scanning a check’s information via magnetic ink character recognition (MICR) technology. It’s technology that allows the scanner to read both the MICR line on the bottom of the check (includes check number, bank number, and routing number) and non-MICR data such as a person’s name, address and phone number. It then takes that data and downloads it into a file, database, email, or any other application. Basically, you’ll have all of your check information available at the click of a mouse.

Another key feature of a check-scanning device is that it captures a snapshot of the check’s image (front and back), and then sends it to a database, file, or other application. Banks use this device in order to upload check images for their customers. In addition, the check-scanning device has it’s own power source; all it requires is a simple USB cable and it’s ready to go.

Time-saving benefits
A busy company can receive up to 20 to 30 checks or even more in one day. Without a check-scanning device, the office manager would have to painstakingly copy each check (back and front) and then file each check in the appropriate file folder. That whole process could take up to an hour or so, and that doesn’t even include adding up all the check amounts. With a check-scanning device, she simply needs to place each check through the scanner and within seconds the information is downloaded into a sleek database with all appropriate information. The whole process now takes only 10 minutes or so, and frees up her time for more important work.
